Reviewing applicants

Last updated November 5, 2026

Everyone who applies to your company's jobs lands in one list under Workspace → Applicants. This article covers reading an application, moving it through its statuses, talking to the candidate, and what the candidate sees while you do.

Who can review applicants

Every member of a company can — its owners, company admins and recruiters alike (see Company members). If you belong to several companies, the applicants to all of their jobs share one list.

When someone applies, each of you gets a notification in the app and an email. You can turn the emails off as New applications under Workspace → Email. Your list of jobs shows how many new applicants each one has.

The applicant list

Workspace → Applicants shows the newest applications first: each with the candidate's name, the job and company, the date they applied, and the status.

To narrow it, pick a Job, a Status or both, and choose Apply filters. View applicants on a job's page in your workspace opens the list already filtered to that job.

Reading an application

Opening an application marks it Viewed, and the candidate is told. It shows:

  • Their profile, laid out as a CV — even if they have not listed it publicly. Applying is what shares it with you. Download CV saves it as a file you can open in a browser, then print or save as a PDF. If the profile is also public, View public profile opens it.
  • Their cover letter, if they wrote one.
  • Status history: every status change and every message, in order.

A candidate with no profile yet shows only their name and cover letter. If they withdraw, their profile is no longer shared with you.

Moving an application

Under Decision, you see only the moves the current status allows:

  • Shortlist, to keep them on the shorter list.
  • Make offer, once you have viewed or shortlisted them. Send the offer's details — pay, start date — as a message.
  • Mark hired, only after an offer.
  • Reject, at any point before the application is final. The candidate sees this as Not selected.

Making an offer, marking hired and rejecting each ask you to confirm first. Hired and rejected are final: the application then says "This application is closed."

Every move is shown to the candidate straight away, with a notification in the app and an email unless they have turned those off. What each status means to them is in Applying for a job.

The candidate's only move is to withdraw, which is also how they turn down an offer. You are not emailed when someone withdraws; the status in your list changes.

Several applicants at once

  1. Tick the applicants in the list, or Select all on this page.
  2. Choose Mark viewed or Reject. Rejecting tells you how many people will be notified and asks you to confirm.

Only the applications that can make the move are changed. Each row then says Done, or that there was no change because it was already in that state. If you make a great many changes in a short time, you are asked to wait a few minutes.

Messaging the candidate

Write in the box under Status history and choose Send message. Everyone who hires for the company sees the same conversation, where a colleague's messages are marked Teammate. Messages work at any status, even after a decision and after the listing has closed.

The candidate is notified in the app, and by email unless they have turned it off — see Notifications and email. If a candidate's messages are a problem, Report message and a Block button with their name are on the same page — see Blocking and reporting.
